Job Description:
San Francisco branch of a national investment banking firm
requires an Executive Administrative Assistant to provide primary
coverage to two Vice Presidents in San Francisco and secondary
coverage to members of the firm in NY. The hours for this position
are from 8:00am-5:30pm with some overtime. The ideal candidate will
be enthusiastic, have the ability to work under pressure, have the
highest attention to detail and have extremely strong
organizational skills.
The principal responsibilities are:
*Handling a high volume of telephone calls;
*Coordinating complex meetings in multiple locations and time
zones;
*Coordinating travel arrangements;
*Handling calendars (organizing meetings and conference calls,
etc.);
*Processing travel & expense reports;
*Maintaining voicemail distribution lists;
*Research and other ad hoc projects;
*General administrative duties (copying, filing and faxing);
and
*Other daily tasks as required.
The position requires the following experience/skills:
*Effective team player with exceptional organizational and
communication skills;
*At least 2-3 years prior experience in a similar environment;
*Must be confident, energetic, positive, focused, dependable,
proactive, independent, resourceful and creative, and someone who
has a can do attitude and works well with a team;
*Must possess a real desire to learn the business and to contribute
broadly to the teams efforts;
*Must be highly reliable, extremely professional and able to
interact with senior management;
*Must be logical, with good attention to detail and accuracy;
*Must be able to work well under time pressure, handling multiple
projects at the same time;
*Must be highly proficient in PowerPoint, Excel, Outlook and
Word;
*Must possess a sense of professionalism and confidentiality
important;
*Stable work history; and
*Ability to work occasional overtime.
